At Morneau Shepell Ltd. and The Globe and Mail (collectively, “we” or “our”), we are committed to protecting the confidentiality, security and accuracy of the personal information we receive about you. The management of personal information is fundamental to our company and this Privacy Policy explains our approach to honouring this commitment.

Your organization has applied to be considered for an Employee Recommended Workplace Award, a workplace award offered by The Globe and Mail, Canada’s leading media organization, and Morneau Shepell Ltd., Canada’s leader in workplace health and productivity.

This award recognizes organizations for their efforts to provide a safe, healthy and positive work environment for their staff members and to give employees the tools they need to manage their work and personal lives.

Our policy is to respect and protect your privacy. We therefore exercise the following precautions to maintain the confidentiality of information that you provide to us.

Collection, Use and Disclosure

We limit the collection, use and disclosure of personal information to information that is necessary for the following:

  • To conduct the Employee Survey, which measures the four key pillars of your life: work, life, mental and physical health. The score from your survey will be combined with that of your colleagues’ scores and the organization with the best scores will be recognized with an Employee Recommended Workplace Award.
  • To conduct research, compile aggregate data, statistics and reports and to perform analytics for use by Morneau Shepell, The Globe and Mail, its clients and our respective third party service providers.  These forms of data, statistics and reports do not contain any information that could reasonably be used to identify you personally.
  • For audit, quality control and legal and regulatory compliance purposes including the protection of our interests in civil or criminal proceedings, to resolve any disputes that we may have and to enforce our agreements.

We will retain personal information for as long as necessary for the purpose for which it has been collected, or as required or permitted by law.


We will collect, use and disclose your personal information with your consent and only for the purposes we disclose to you, or as otherwise required or permitted by law. Consent may be expressed or implied.  You may withhold or withdraw your consent for us to collect, use and disclose your personal information, as long as there are no legal or contractual reasons preventing you from doing so.  Depending on the circumstances, however, withdrawal of your consent may impact our ability to provide you with services related to the Employee Survey.


We will employ safeguards to protect personal information from unauthorized access, disclosure, copying, or use, by using various methods of protection, appropriate to the sensitivity of the information.  The methods of protection include: naming a person to handle all aspects relating to personal information; using appropriate security measures to protect such personal information; immediately informing the affected individual of any security breach or data leak with respect to personal information; not using such personal information for any purpose other than fulfilling its obligations in respect of the Employee Recommended Workplace Award; not disclosing such personal information to any person (except to The Globe and Mail and Morneau Shepell officers and employees, on a need to know basis); and immediately refer to Employer any individual who contacts The Globe and Mail or Morneau Shepell requesting access or correction to, or with any inquiries or complaints about, his or her personal information that relates to the Employee Recommended Workplace Award, and immediately notify the Employer regarding any such request, inquiry or complaint. 

We will also employ care in the disposal or destruction of personal information to protect against unauthorized parties from gaining access to the information.  Employee Recommended Workplace Award Survey and Questionnaire sessions are protected using Bank Grade SSL Security. 

Firewalls are employed to protect the Survey and Questionnaire systems.  Servers are redundant to ensure high availability, and are protected by McAfee Secure Scans. Daily backups take place and data is stored in a secure offsite location, ensuring that in the event of a natural disaster, your data is safe.

Please note that confidentiality and security are not assured when information is transmitted through email or other electronic communication. While we make every effort to secure all communications within our control and on our premises, please be advised that no method of delivery is absolutely secure and any communication of personal information may be accidentally or deliberately intercepted by third parties. 

Use by and Disclosure to Third Parties

We may need to share your personal information with third parties who support us in providing services related to the Employee Recommended Workplace Award.  We require these third parties to keep your information confidential and secure and to have privacy policies and security standards with respect to personal information that are comparable to ours.  When we disclose information to third parties, we will redact your personal information to the extent possible and will only share the personal information required to provide services related to the Employee Recommended Workplace Award.

Privacy and the Internet

We collect information about you through your visits to our website using cookies. Cookies are files sent to your browser from a web server and stored on the hard drive of your device to allow a website to identify that device whenever a user returns to the website. We use these cookies for a variety of reasons, most commonly to distinguish you from other users, maintain user session and to help us compile aggregate statistics about our website. Accuracy and Access

We will employ measures to keep personal information collected by us accurate and complete in order to minimize the possibility of using or disclosing incorrect personal information. You may have access to your personal information in the form of your personalized report. We may deny access to certain personal information we hold about you if the information contains references to other individuals, if it cannot be disclosed for legal, security or commercial proprietary reasons, if it is subject to solicitor-client or litigation privilege, if it contains information that may be harmful to your mental health or the mental health of others, or as may otherwise be required by law. We will advise you of the reason for denying the access request.

You may question the accuracy and completeness of the information and we will update or correct any factually inaccurate information.

Enforcement, Amendments and Privacy Concerns

Under the leadership of Morneau Shepell and The Globe and Mail’s Privacy Officers, privacy working groups comprised of individuals from across the organization are accountable for our compliance with this Privacy Policy and the development and implementation of privacy practices and procedures.

We use a self-assessment approach to ensure compliance with this Privacy Policy, and periodically verifies that the policy accurately describes our practices, is publically accessible and conforms to the guiding principles of privacy. This Privacy Policy may be amended from time to time as a result. We will post any revised policies on this website.

Compliance with Privacy Laws

It is our policy to comply with the privacy legislation of each country where we provide our services. Sometimes the privacy legislation and a person’s right to privacy are different from one country to another. If you are providing your personal information to us from a country other than Canada, you are consenting to the potential transfer of your personal information to these countries.
